Making a phone call
To dial a number from Teams, go to Calls and from the dial pad, enter the number of the person you want to reach. Then click Call . To call using someone’s name, go to Calls and from the dial pad text box, type the name of your contact.
To make group calls, enter multiple names and/or numbers into the dial pad, and click Call
In your voicemail and call history, you can call someone back by selecting Call or More actions next to their name > Call back from the call history list, or by hovering over their name and clicking Call
Short dial the Service Desk
Quickly and easily call the service desk by entering 5555 on the dial pad and then press call.
Receive a phone call
Receiving a call in teams is as easy as clicking a button. To answer the call, press the phone icon on the left in the popup window. To decline the call, press the red hangup button on the right.
Secondary Ringer Device
Incoming calls in Teams will play the ringtone through the device set as the “speaker” in windows. To find out which device is currently used, play a video, and listen to where the audio is coming from.
If you want to use another device, like your headset, to also play the ringtone you can setup a second device by selecting More actions in the top right of the Teams window > Settings
> and then choose the Devices tab. In the devices menu you can setup the secondary ringing device.
Caller ID
Caller ID will be visible in the incoming call popup window. If caller ID information is not sent, only the phone number of the person calling will appear (see above). If caller ID information is sent then both the phone number and the name will appear in the incoming call popup.
Call History
Your call history moves to the center of the calls experience and shows a list of past calls (including missed calls). To return a missed call, hover over a contact from your call history list and select More actions> Call back . You can also chat with that contact, add them to speed dial, and add them to your contacts, all from the More actions menu.
To review a list of calls you’ve missed, lists of calls that came in, and your voicemail, select between the available filters at the top of the call history list.
Call a contact in your address book
Your speed dial contacts will appear on the right in the Calls tab, along with any contact and call groups you manage. Hovering over a contact will give the option to make a video call, Teams call or a drop down to see other numbers listed for that contact.
Adding a contact to your address book
To add a new contact, select the Contacts tab and choose Add contact. Type a name or number and click Add. Fill in the contact’s information then click Add.
To add someone to a call group, select More actions next to a contact group name and choose Add a contact.
Send unanswered calls to voicemail, other people, or a group.
In the call answering rules, select the dropdown menu next to If unanswered and then select one of the options such as Voicemail. You can also send calls to other contacts, groups or phone numbers instead of voicemail.
You can also specify how many seconds you want to wait until calls are sent to voicemail, an alternate person or phone number.
Changing your voicemail settings
To change the voicemail settings, while on the Calls tab click on the call forward dropdown menu and then select More Settings to open the calling settings.
In the call settings, select Configure Voicemail.
This is where you can record your voicemail greeting.
It is also where you can setup your call answering rules.

Checking your voicemail
In Teams
Your voicemail is a familiar tool for getting the most out of your calling experience in Teams. To access your voicemail, go to Calls > History and then select Voicemail.
Call someone back by hovering over a voicemail and selecting Call or by selecting More actions and choosing Call back.
When you select/click on a voicemail recording, you can review and access details and other information — all on the right side of Teams.
From here you can:
- Listen to your voicemails by using the playback controls at the bottom.
- Review your voicemail summaries and transcripts (if available).
- Call someone back by using the call controls under the contact details at the top.
- Customize voicemail settings (such as recording a greeting and specifying call answering rules).
In Outlook
Voicemails will also be delivered to your Outlook inbox where they can be read, listened to, or deleted. Any action taken within Teams or Outlook will be synced to the other client automatically. Deleting a voicemail in Outlook will delete the voicemail in Teams and vice versa.
Receiving calls that are forwarded to you
If a call is forwarded to you or a call group that you were added to, the incoming call popup window will notify you of where the call was forwarded from.
Forward calls to another person or number
To setup a new forwarding target, on the Calls tab click on the call forward dropdown menu and then select More Settings to open the calling settings.
In the call answering rules, select Forward my calls and then select New number or contact.
Enter the phone number (must enter 10 digits, extensions are not supported) or person you want to forward you calls to and click one of the results that popup.
On the Calls tab, you can quickly enable call forwarding by using the drop-down menu to forward calls to previous numbers, users, and call groups.
Simultaneously ring multiple numbers when receiving a call
To setup simultaneous ringing, on the Calls tab click on the call forward dropdown menu and then select More Settings to open the calling settings.
In the call answering rules, select Calls ring me. Select the drop down next to Also ring and enter the phone number or person you want to simultaneous ring and then click one of the results that popup.
Entering digits in a call
When calling a phone number that has an automated menu where you need to enter numbers to navigate the menu or enter information click on the Dial Pad button to bring up a dial pad within the call window. Do not use the dial pad on the left hand side of the screen where you initiated the call from.
Add, edit, or reset your emergency location in Teams
You can check your emergency location below the dial pad in Calls or at the bottom of the calls section in your Teams Settings.
Note: you can only edit your Emergency Location in Calls.
